This page is maintained by Bettor Design LLC to answer common privacy questions about IceTunes. It describes the app's current practices and the services it relies on. It is not an independent certification or legal advice.
Introduction
Welcome to IceTunes. We respect your privacy and are committed to protecting your personal data. This privacy policy explains how we collect, use, and safeguard your information when you use the IceTunes app for iPad and iPhone, the IceTunes web app, and the IceTunes website (together, the "Services").
IceTunes is a game-day soundboard: you build cue sheets of songs, sound effects, and player announcements, and play them over a rink's speakers. Because rosters hold details about other people, often young players, this policy has a section just for them: Players and Roster Information.
The App and Device Permissions
IceTunes runs on iPad, iPhone, and in your browser. You control permissions through iOS Settings > IceTunes or your browser. We only ask for what a feature you use needs:
- Account sign-in: Sign in with Apple, Google, or an email and password to keep your cue sheets in sync across your devices.
- Apple Music: Requested when you connect Apple Music, so full songs can play from your own Apple Music subscription. See Apple Music below.
- Microphone: Used for the announcer mic and the rink sound check. Your voice goes live to the speakers and nowhere else: it is never recorded, stored, or uploaded. iOS shows its microphone indicator only while the mic is on. In some browsers, IceTunes briefly asks for the microphone only so the browser will name your audio outputs (for headphone previews), then releases it straight away.
- Camera: Used only to scan an IceTunes code, for example to connect your phone to the iPad at the desk. The code is read on your device to open the right page; nothing the camera sees is stored or sent to us.
- Photos: If you add a player photo, a team logo, or a profile photo of yourself, you pick the file yourself. IceTunes does not ask for access to your photo library. Logos and profile photos are shrunk on your device and kept with your account; they are seen only by you and the people you run teams with, never shown publicly.
- Background audio: Lets a song keep playing if the screen locks mid-game.
Apple Music
IceTunes can play songs from the Apple Music catalogue. Connecting Apple Music is done with Apple, through Apple's own sign-in; we never see your Apple ID or password.
- Searching the catalogue: When you search for a song, artist, or album, our servers pass the search words and your Apple Music country to Apple and return the results. These requests do not include your account details.
- Playing songs: Full songs are played by Apple on your device, under your own Apple Music subscription. Without one, songs play Apple's 30-second previews. Artwork and previews are delivered by Apple.
- Importing your playlists: If you choose to import an Apple Music playlist, IceTunes reads that playlist from your library on your device and adds its songs to your cue sheet.
- What we keep: Only whether your account has connected Apple Music. Apple's access token for your library stays on your device.
Apple handles this data under its own privacy policy.
Players and Roster Information
A roster is a set of pads, one per player, that you fire during a game. To make them, you may add a player's name, jersey number, how their name is pronounced, a photo, and a song. This is information about other people, and in youth hockey it is often information about children.
- Your responsibility: Only add a player's details if you are entitled to use them for game-day announcements, for example as their team, club, or rink. For players under 18, make sure you have the permission of a parent or guardian, as your organization requires.
- Who makes announcements: Player announcements are made by families and teams, not by IceTunes. IceTunes generates each clip only when you ask, on your instruction, from the words you write. Before your first announcement or pronunciation suggestion, we ask you to confirm that, for every player you make one for, you are their parent or guardian or have their parent's or guardian's permission, and that you agree to the name being sent as described below. We record that you agreed and when, and do not send any player's name to these providers from an account that has not.
- Where it is kept: Roster details, including player photos, are stored in your cue sheet, in your account. They are not visible to other IceTunes users.
- Pronunciation suggestions: If you ask IceTunes to suggest how a name is said, the player's name is sent to our AI provider, Anthropic, to write a phonetic spelling. Nothing else about the player is sent.
- Generated announcements: If you create a spoken announcement for a player, or type a line for the announcer to say, the announcement line (for a player, typically their number and name as it should be said) and the style you choose are sent to ElevenLabs, which generates the audio clip. ElevenLabs processes this text under its own terms and privacy policy, which may allow it to use submitted content to improve its services. We keep a record of each request (its length and cost, not the words of a typed line). Nothing else about the player (no photo, age, or contact details) is sent. If you prefer not to send a player's name, you can upload your own recording instead. The audio made from a typed line is kept in your account's storage so you can play it again from Recent: your thirty most recent are kept, you can remove any of them, and one older than 90 days is deleted automatically unless you saved it to your library.
- Removing it: Delete a player's pad, or the cue sheet, to remove their details from it. Announcement clips already generated for a player stay in your file storage; to remove everything, including those clips, ask us at hello@icetunes.com.
If you are a player, or a player's parent or guardian, and want details removed from an IceTunes account, contact the team or rink that runs the game-day audio, or write to us and we will help.
Audio You Upload and Announcements We Generate
Audio files you upload (songs, adverts, announcements, sound effects) and announcement clips IceTunes generates for you are stored in our cloud storage so they can play on all your devices. Each file sits at a long, random web address that is not listed anywhere and cannot be guessed, but it is not password-protected: anyone given that exact address could play the file. Only you can add or delete your files.
AI Features
- AI auto-fill: When you ask IceTunes to suggest songs for your cue sheet, the description you write (for example, the mood you want), the names of your cue sheet's events, your clean-songs-only setting, and your Apple Music country are sent to Anthropic to suggest songs. We keep a record of each request, including the description you wrote, with its usage and cost, to run and account for the feature. After 90 days the description is deleted and the record is no longer linked to you (see AI request records).
- Pronunciation and announcements: See Players and Roster Information.
Your Devices, Syncing, and the Phone Remote
When you are signed in, your cue sheets sync through our cloud service so each of your devices sees the same sheet, and changes made on one appear on the others.
When you sync a phone to a sheet (the phone remote), the device playing the rink's audio tells your other devices on that sheet what it is playing and what is cued, its state (playing, paused, fading), and its type (such as iPad or iPhone), and your phone can send it play, pause, stop, and next. This live link passes between your devices in real time and is not stored.
Sharing, Discover, and Reports
Your cue sheets are private to your account. Discover shows cue sheet templates made by IceTunes. If you report a cue sheet, we keep your report, the sheet it concerns, and your account so we can follow up.
Operators
On the Pro plan you can invite up to two operators, by email, to help run your teams. Each uses their own IceTunes login, and you choose which of your teams each one may open. An operator can see, edit, and run everything in those teams: their cue sheets, boards, rosters (including player names, numbers, pictures, and announcements), team logos, and the Game Board. You and your operators see each other's names and profile photos. They cannot open teams you have not shared with them, delete your cue sheets, or manage your plan or your operators. You can change an operator's teams or remove them at any time, and their access ends if your plan no longer includes operators.
To invite someone we keep the email address you enter, the invite link's code, the account that accepts it, and which teams each operator may open. We do not email invites ourselves: you send the link. As the owner you see each operator's name and email address; as an operator you see the owner's name. AI an operator uses on your teams comes from your plan's allowance, and our records of those requests note who asked. Audio an operator uploads is stored with the operator's own account.
The Waiting List
If you join the waiting list on our website, we collect your email address, your name, your team or rink, and your role, and send you a welcome email. We use these details only to tell you about IceTunes and waiting-list offers. You can unsubscribe at any time.
Plans and Payments
If you buy a Team or Pro plan, the payment is taken by the store you buy from: Apple, through the App Store, when you buy in the IceTunes app; or Stripe, through RevenueCat's web checkout, when you buy on our website. We never see or store your card details.
RevenueCat manages subscriptions for us. It receives your IceTunes account ID (a random identifier, not your name or email address) and, from Apple or Stripe, what you bought, when it renews or ends, and whether it is active. On the web, Stripe collects the payment details, email address, and billing country or address it needs to take payment and meet tax rules. We keep your plan, its renewal or end date, where you bought it, and a record of each subscription event (such as a purchase, renewal, or cancellation), so your plan is right on every device and we can answer billing questions.

Legal Bases for Processing (EEA/UK)
Where required by law, we rely on the following legal bases:
- Contract: To provide the Services you ask for
- Legitimate interests: To secure, improve, and operate IceTunes in a way that is proportionate and respects your privacy
- Consent: For optional things such as the waiting list and its emails
- Legal obligation: To comply with applicable laws, including keeping tax and payment records
Sources of Personal Information
We collect information directly from you (for example, your account, your cue sheets, and the roster details you enter), automatically through your use of IceTunes (for example, request logs), and from services that help us operate it (for example, Apple or Google when you sign in with them, and RevenueCat, Apple, or Stripe when you buy a plan).
Data Security
We protect your information with measures including:
- Encryption of data in transit between the apps and our services
- Account-level access controls, so your cue sheets can be read only by your account
- Secure hosting and limited internal access
No service is completely secure. Use a strong password and a device passcode, and keep your sign-in details to yourself.
Your Rights
You have the right to:
- Access: Request a copy of your personal data
- Correction: Update or correct your information (you can edit your name, team, and email in your account)
- Deletion: Delete your account and data (in the app, under Account)
- Portability: Receive your data in a readable format
- Objection: Object to certain processing of your data
If you are in the EEA, UK, or California, you may have additional rights under local law. We will not discriminate against you for exercising your privacy rights.
Cookies and Local Storage
IceTunes does not use advertising or tracking cookies. The app keeps your signed-in session and your device settings (such as volume, audio output, and layout) in your browser's or device's local storage so they are there next time. Apple Music, when connected in a browser, keeps its own data there too. Clearing your browser data removes these and signs you out.
Children's Privacy
IceTunes accounts are for the adults and older teens who run game-day audio, and are not intended for children under 13. We do not knowingly collect personal information from children under 13 through their own use of IceTunes. If we learn that we have, we will delete it. Details about young players that a team adds to a roster are covered in Players and Roster Information.
International Data Transfers
Your data may be processed in countries other than your own, including the United States, through our hosting, database, and AI providers. We rely on safeguards recognized by law and our providers' transfer frameworks where applicable.
Selling or Sharing of Personal Information (U.S. State Laws)
We do not sell your personal information, and we do not share it for cross-context behavioral advertising.
How to Exercise Your Rights
Send requests (access, deletion, correction, portability, objection, or unsubscribing from emails) to hello@icetunes.com. We may ask for information to verify your identity. Authorized agents may submit requests with proof of authorization and identity verification.
How Long We Keep Your Information
We keep your personal information only as long as we need it to provide the Services, meet our legal obligations, and resolve disputes.
Your Account and Cue Sheets
Your account, cue sheets, rosters, and files are kept while your account is active. When you delete a pad, a cue sheet, or a file, it is removed from your account.
Deleting Your Account
You can delete your account at any time in the app: open Account and choose Delete account. Your account, cue sheets, rosters, player details, and files (uploaded audio and generated announcements) are permanently removed straight away. You can also ask us to do it by emailing hello@icetunes.com; once we have verified the request, it is done within 30 days. Records of AI requests and reports may be kept afterwards for accounting and safety, no longer linked to your account.
If you are an owner with operators, deleting your account deletes your teams too, so your operators lose access to them. If you are an operator, deleting your account ends your access to the teams shared with you, which stay with their owner; audio you uploaded is deleted with your account.
Deleting your account does not cancel a plan. Cancel it first: in your Apple account's subscription settings for a plan bought in the app, or from Account → Change plan → Manage subscription for a plan bought on the web.
Plans and Purchases
Your plan and its subscription records are kept while your account is active. Records of purchases are kept after that for as long as tax and accounting law requires. Apple, Stripe, and RevenueCat keep their own records under their own privacy policies.
Waiting List
If you join the waiting list, we keep your details until you unsubscribe or ask us to delete them.
AI Request Records
Records of AI auto-fill requests and generated announcements keep the description you wrote, any error, and the link to your account and cue sheet for 90 days, so we can fix problems and spot misuse. After 90 days those details are deleted automatically, and only anonymous usage and cost figures are kept, for our accounts. Player names and announcement lines are not kept in these records at all. Your agreement to the announcement terms is kept while your account is active.
Logs
Request and security logs are kept for a limited period, then deleted.
Important: Once data is deleted, it cannot be restored.
Do Not Track and Global Privacy Control
Some browsers send "Do Not Track" or Global Privacy Control (GPC) signals. IceTunes does not track you across sites. Where legally required, we treat GPC signals as an opt-out preference for applicable processing.
Subprocessors
Key service providers include: Supabase (accounts, database, storage, and sync), Cloudflare (hosting), Apple (Sign in with Apple, Apple Music, the App Store and in-app purchases), Google (sign-in and website fonts), Anthropic (AI suggestions), ElevenLabs (announcement audio), Resend (waiting-list email), RevenueCat (subscriptions), and Stripe (web payments). These providers process data on our behalf under appropriate agreements.
Changes to This Policy
We may update this privacy policy from time to time. We will notify you of material changes by posting the new policy on this page and updating the "Last updated" date.
